- This is a hybrid position that is based in our Schaumburg or downtown Chicago Office until Q4, 2023 when the single office will be in the Chicago/O’Hare Area.
JOB SUMMARY: Manage and perform all payroll related activities including retirement accounts and health savings accounts. Prepare and maintain financial records and other financial activity for the organization.
ESSENTIAL FUNCTIONS:
- Payroll
- Process payroll bi-weekly; transmitting information to ADP
- Calculate 403(b) contributions and transmit to TIAA
- Process and transmit other benefits bi-weekly, HSA, flexible spending, insurance deductions
- Process state unemployment taxes in conjunction with ADP Accounting
- Prepare monthly payroll journal entry for Finance Manager, which accurately distributes the salary allocations
- Run monthly reports for HR reconciliation (flex spending, insurance deductions, HSA)
- Verify and process international wire transfers and ensure payments are charged to the appropriate account and approvals are obtained, in addition, record wire transfer expenses and payments in the general ledger
- Reconcile cash receipts bank statement monthly, verify all deposits reconcile to AMS; work with Customer Service on a weekly/monthly basis reconciling deposits from AMS to credit card processor and then to bank statement
- Assist in the month-end close process by preparing journal entries and postings as needed to ensure timely reporting
- Monthly reconciliation of accounts receivable from AMS; work with Customer Service monthly to ensure collectability of various accounts receivables
- Assist with tax schedules for annual 990 for both organizations
- Process expense reports in Concur; set up new staff and volunteers as needed
- Other duties as assigned
- Assist outside auditors with the annual 403(b) audit and workers compensation audit
- Provide outside auditors with assistance; gather necessary account information and documents for the annual financial audit EDUCATION AND EXPERIENCE REQUIRED (an equivalent amount of training, education and experience will be considered)
- Requires a bachelor’s degree in accounting
- Minimum of three years experience in accounting and payroll functions, i.e., electronic transmission, 403(b) KNOWLEDGE, SKILLS AND ABILITIES including competencies that may be representative but not all inclusive of those commonly associated with this position.
- Ability to maintain confidentiality of restricted organizational and employee information
- Ability to communicate effectively with people and other departments
- Knowledge of policy and ability to apply that to unique situations
- Ability to make objective decisions using sound judgment
- Requires attention to detail
- Demonstrated ability to work in a dynamic and constantly changing company environment
- Strong analytical and quantitative skills WORK ENVIRONMENT (environmental and atmospheric conditions commonly associated with the performance of the functions of this job.)
